Publication draft: status, contribution and technical details require contributor approval. The architecture and implementation notes below are illustrative, not verified accounts of a client deployment.
Context & challenge
Guards at gates need to record visitors and vehicles quickly, on devices with unreliable connectivity, while management needs a consolidated record.
Objectives
- Fast capture at the gate
- No lost entries during outages
- Central record in the ERP
Solution approach
- Installable PWA storing records locally first, with a background sync queue.
- Conflict-aware synchronisation into custom Frappe doctypes.
- Role-based access for guards, supervisors and administrators.
Architecture
- Guard device
- Local store
- Sync queue
- Frappe API
- ERPNext doctypes
- Reports
Simplified and anonymised. No private infrastructure details are published.
Important technical decisions
- Local-first writes; the server is never on the critical path at the gate
- Server-assigned IDs reconciled after sync
Operational considerations
- Device loss or reset
- Duplicate submissions on retry
- Shift handover
Results

Lessons learned
- Guard UX is measured in seconds per vehicle — every field must justify itself.
